South Asian Wedding Planning Timeline & Checklist (GTA)

A month-by-month South Asian wedding planning timeline for the GTA — when to book each vendor, from 12+ months out to the week of.
Published June 15, 2026 · By The Big Bang Events

A South Asian wedding in the Greater Toronto Area is a multi-event production — Mehndi, Sangeet, the ceremony, and the reception — booked across a dozen-plus vendors who fill up peak-season Saturdays a year or more in advance. The single biggest planning mistake is starting too late and losing your first-choice venue, caterer, or photographer. This timeline maps what to lock in and when, with links to our 2026 GTA cost guides for each category so you can budget as you book.

What should I book first for a South Asian wedding?

Venue and date, then catering. In the GTA, banquet halls and the best South Asian caterers are the constraints — they sell out peak Saturdays 12+ months ahead, and your guest count, budget, and every other vendor flow from the venue choice. Book photography and videography next (9-12 months), then decor, entertainment, and makeup (6-9 months). Outfits, invitations, and logistics can come later. If you are doing a full multi-event wedding, multiply the lead time — you are effectively booking three to five events, not one.

How far in advance should I book each vendor in the GTA?

As a rule of thumb for 2026: venue 12+ months; caterer, photographer, videographer, and planner 9-12 months; decor/mandap, DJ + dhol, and makeup artist 6-9 months; outfits and invitations 3-6 months; the makeup trial and menu tasting 1-3 months. The most-booked specialists go first, so if there is a specific vendor you love, reach out before you think you need to — popular dates are gone a year out.

Final-month checklist

  • • Confirm final guest count with the caterer and venue
  • • Build a minute-by-minute timeline for each event and share it with every vendor
  • • Do your makeup trial and the menu tasting
  • • Confirm vendor call times, arrival logistics, and parking/load-in
  • • Settle outstanding balances and confirm payment methods
  • • Assign a day-of coordinator (or a reliable family member) to run the day
  • • Pack an emergency kit (safety pins, touch-up makeup, phone chargers, snacks)
